01 / DECISION

Protect the design source file without hiding ownership

A client source-file delivery should preserve approved artwork, fonts, linked assets and production notes without becoming a dump of every studio draft. Define the delivery release, approved formats, linked assets, licensing notes, production dependencies and named recipients that genuinely need access. Exclude credentials, unrestricted personal data and unrelated working material.

Design-studio scenario

A studio delivery lead freezes a client delivery release for creative director review. The team first proves the workflow with fictional source artwork files, documents each authorized role and preserves the working source separately.

02 / PROCEDURE

Run the control sequence

  1. 01

Name the client project, approved delivery release and accountable studio owner.

  2. 02

List approved source artwork, fonts, linked images, export presets and handoff notes.

  3. 03

Map creators, reviewers, recipients and legitimate access duration.

  4. 04

Exclude secrets, redundant exports and data held in a better system.

  5. 05

Freeze a scope manifest and review it before every major release.

03 / RECORD

Preserve decision evidence

Record archive ID, horizon, included artifact classes, exclusions, owner, contributors, reviewers, recipient roles, sensitivity, dependency systems and next scope review.

Stop when

  • No accountable owner can approve the archive.
  • Credentials or production secrets appear in the folder.
  • Access is granted to a generic department instead of named roles.

The record should show the approved delivery release, tested environment, responsible people and known limitations without storing passwords or unnecessary design source file content.

04 / BOUNDARY

Separate the surrounding controls

Does not replace provider permissions, guaranteed backup, password recovery or enterprise identity management. Encryption does not assign provider permissions, verify a recipient, preserve every backup or remove plaintext working copies automatically.

05 / QUESTIONS

Design Source File archive questions

Should the encrypted archive replace the live studio workspace?

No. Keep editable work in the approved studio workspace and archive named client delivery releases deliberately.

Does resetting a password recover an existing archive?

Do not assume so. Document the product-specific recovery boundary and test a separate recovery copy.
